Reimbursement Policies

HCIC Funded Students

Rental Cars -- HCIC funded students will be reimbursed up to the cost of transportation on the Monterey Salinas Airbus Shuttle ($110 from the San Jose International Airport; $120 from the San Francisco International Airport).

If you and another HCIC funded student share a rental car, you will be reimbursed up to the cost of transportation on the Monterey Salinas Airbus Shuttle for both students ($220 from the San Jose International Airport; $240 from the San Francisco International Airport).

Mileage -- HCIC funded students that live in California can opt to drive their own cars to the HCIC conference instead of having airfare purchased for them. The mileage reimbursement rate is 56.5 cents per mile and is limited to the actual miles driven or the amount of coach airfare.

Taxi -- HCIC funded students that fly into the Monterey Peninsula Airport and have to take a taxi to Asilomar will be reimbursed for the exact amount spent on taxi transportation. The cost of round-trip taxi transportation ranges from $70-$90 ($35-$40 one way).

Reimbursement Instructions

HCIC Funded Students

Download the HCIC reimbursement form, fill it out and submit it along with the corresponding original receipts to Lai Tutt. If you are seeking mileage reimbursement for driving your own car, you only need to submit the completed HCIC reimbursement form.

Paying Students

Paying students should consult with the faculty member that invited them for more details on their university's reimbursement procedure.

Receipts

HCIC Funded Students

HCIC funded students will need to submit original receipts and a completed HCIC reimbursement form, in order to receive reimbursement for the following out-of-pocket expenses:

  • Rental car
  • Mileage (if driving own car to the conference)
  • Taxi (if you fly into the Monterey Peninsula Airport)

Receipts should be submitted to Lai Tutt prior to the last day of the conference or mailed within 2 weeks of your return home to:
