Reimbursement Policies

HCIC Funded Students

Rental Cars -- HCIC funded students will be reimbursed up to the cost (TBD) of ground transportation arranged by Conlin Travel or HCIC Admin.

If HCIC funded students share a rental car, the driver (renter) of the vehicle can be reimbursed up to the cost of transportation (TBD) for the number of students transported who would’ve taken a shuttle arranged by Conlin or HCIC admin.

Mileage -- HCIC funded students who live in California can opt to drive their own cars to the HCIC conference. Mileage is reimbursed at 56.5 cents per mile and is limited to the actual miles driven and no more than economy airfare from their airport nearest to their CA home.

Paying students should consult with the faculty member that invited them for more details on their university's reimbursement policies.

Reimbursement Instructions

HCIC Funded Students

Download the HCIC reimbursement form (link to be provided later), fill it out and submit it along with the corresponding original receipts to Todd Stuart. If you are seeking mileage reimbursement for driving your own car, you only need to submit the completed HCIC reimbursement form.

Paying Students

Paying students should consult with the faculty member that invited them for more details on their university's reimbursement procedure.

Receipts

HCIC Funded Students

HCIC funded students will need to submit original receipts and a completed HCIC reimbursement form, in order to receive reimbursement for the following out-of-pocket expenses:

  • Rental car
  • Mileage (if driving own car to the conference)
  • Taxi

Receipts should be submitted to Todd Stuart prior to the last day of the conference or mailed within 2 weeks of your return home to:
