Reimbursement Policies

HCIC Funded Students

Rental Cars -- HCIC funded students will be reimbursed up to the cost (TBD) of ground transportation arranged by Conlin Travel or HCIC Admin.

If HCIC funded students share a rental car, the driver (renter) of the vehicle can be reimbursed up to the cost of transportation (TBD) for the number of students transported who would’ve taken a shuttle arranged by Conlin or HCIC admin.

Mileage -- HCIC-funded students who live in or near California can opt to drive their own car to the HCIC conference. Mileage is reimbursed at 57.5 cents per mile for round-trip miles between their home and Pajaro Dunes but no more than economy airfare with a two-week advance purchase from the airport closest to their home.

Paying Students

Paying students should consult with the faculty member that invited them for more details on their university's reimbursement policies.

HCIC Funded Students

Reimbursement forms will be provided upon request. These need to be submitted with original receipts to Todd Stuart ( by the last day of the conference or mailed within 2 weeks after the conference ends to:
